Role Overview
The Payroll Manager owns the day-to-day execution, accuracy, compliance, and continuous improvement of Banzaiʼs payroll operations. This role is responsible for ensuring employees, international contractors, and consultants are paid accurately and on time across multi-state and international populations, while maintaining strong payroll controls, audit-ready documentation, and scalable processes.
This person partners closely with HR, Accounting, FP&A, and department leaders to resolve payroll issues quickly, support financial reporting and close activities, improve workflows, and maintain a high-quality team member payroll experience.
Key Responsibilities
Process full-cycle, multi-state and international contractor payroll, including hourly, salaried, bonus, commission, retro pay, reimbursements, deductions, and other payroll-related transactions.
- Ensure payroll is processed accurately and on schedule in compliance with federal, state, local, and applicable international wage, tax, and employment regulations.
- Review and audit timecards, PTO, leaves, overtime, team member changes, compensation updates, benefits deductions, tax updates, garnishments, and other payroll inputs.
- Maintain accurate payroll records and documentation to support compliance, internal controls, reporting, and audit requirements.
- Prepare payroll reports for Finance, HR, FP&A, and leadership, including recurring and ad hoc reporting needs.
- Reconcile payroll-related general ledger accounts and support month-end, quarter-end, and year-end close processes.
- Lead payroll year-end and recurring tax activities, including W 2s, federal, state, and local payroll tax filings, ACA reporting, amendments, notices, and related compliance requirements.
- Coordinate and maintain records for 401(k) payroll deductions and employer contribution deposits, ensuring timely submission, accurate documentation, and reconciliation with payroll records and plan requirements.
- Troubleshoot payroll system issues and partner with HRIS, Finance, and external providers on system optimization and process improvements.
- Respond to employee payroll inquiries with professionalism, discretion, accuracy, and a high level of customer service.
- Support audits related to payroll, tax, workersʼ compensation, 401(k), and other finance or benefits-related matters.
- Partner with Accounting and FP&A to support payroll expense tracking, headcount cost reporting, budget vs. actual analysis, variance explanations, and management reporting deliverables
- Maintain and improve payroll-related templates, models, and reporting tools, including headcount cost tracking, payroll run-rate analysis, and departmentlevel payroll trend reporting.
- Support the development, documentation, and implementation of payroll policies, procedures, controls, and best practices.
- Serve as the internal subject matter expert on payroll systems, processes, and controls.
- Assist with system implementations, process improvements, and special projects as needed.
Required Experience & Qualifications
- 5+ years of progressive payroll, finance operations, or related experience, including significant hands-on ownership of full-cycle payroll.
- Strong understanding of payroll best practices, wage and tax compliance requirements, payroll controls, and audit-ready documentation.
- Experience processing multi-state payroll; experience with international contractors or global payroll operations preferred.
- Experience with hourly, salaried, bonus, commission, reimbursement, deduction, benefits, garnishment, and retro pay processing.
- Strong understanding of payroll-related accounting, including payroll reconciliations, payroll journal entries, and month-end close support.
- High attention to detail and strong documentation habits.
- Strong systems aptitude and spreadsheet skills; able to troubleshoot issues and improve workflows across tools.
- Excellent communication skills and strong cross-functional collaboration ability.
- Ability to manage multiple deadlines in a fast-paced environment.
- Ability to handle sensitive and confidential information with discretion and professionalism.
- Customer-service mindset when supporting employee payroll questions and issue resolution.
- Self-starter with experience supporting and reporting to senior-level executives, with the ability to operate independently, anticipate needs, and communicate effectively with leadership.
- Experience with Rippling preferred.

Compensation:
Job Type: Full-time
Salary: $100,000 - $145,000 per year
Equity: Competitive stock plan package
